Important Notice
Please read these Terms and Conditions carefully before registering or using the SAPEN Membership Management System. By creating an account or submitting a membership application, you confirm that you have read, understood, and agree to be bound by these Terms.
1. Definitions
- 'SAPEN': The South Asian Association of Parenteral and Enteral Nutrition, the governing association operating the System.
- 'System': The SAPEN Membership Management System, including the member registration portal, admin dashboard, and all associated features and modules.
- 'Member': Any individual who has submitted a membership application and has been approved by a SAPEN administrator.
- 'Administrator': A SAPEN committee member or authorised staff member with admin-level access to the System.
- 'Content': Any information, materials, or resources accessible through the System to registered members.
- 'Phase 1': The initial release of the System, comprising member registration, admin dashboard, reporting, notifications, and the Events module (beta).
- 'Phase 2': Planned subsequent release adding payment integration, member portal, membership tier management, and webinars.
2. Eligibility and Registration
2.1 Membership of SAPEN is open to healthcare professionals and practitioners in the field of parenteral and enteral nutrition across South Asia, including India, Sri Lanka, Nepal, Pakistan, Bangladesh, Bhutan, and the Maldives.
2.2 By submitting a membership application, you represent and warrant that:
- All information provided is accurate, current, and complete.
- You are a qualified professional in a relevant healthcare or nutrition-related field.
- You have not previously been suspended or banned from SAPEN membership.
2.3 SAPEN reserves the right to approve, reject, or defer any membership application at its sole discretion, without obligation to provide reasons.
2.4 You are responsible for maintaining the confidentiality of your login credentials and for all activity under your account. You must notify SAPEN immediately of any suspected unauthorised access.
3. Membership Tiers and Fees
3.1 Phase 1 offers a single Active Membership tier at no charge. Membership fee structures, tiered plans, and payment processes will be introduced in Phase 2.
3.2 Upon integration of the payment gateway (Phase 2), the following shall apply:
- Membership fees are non-refundable unless otherwise stated in the applicable fee schedule.
- Members are responsible for ensuring timely renewal before the expiry of their membership.
- SAPEN reserves the right to revise membership fees with reasonable notice to members.
- Failure to renew by the expiry date will result in the member's status moving to 'Expired'.
4. Member Obligations
- Provide accurate, current, and complete information during registration and update it promptly if it changes.
- Use the System solely for lawful purposes and in a manner consistent with SAPEN's objectives.
- Not attempt to gain unauthorised access to any part of the System or another member's account.
- Not use the System to transmit harmful, offensive, or unlawful content.
- Comply with all applicable laws and professional standards in your jurisdiction.
- Not reproduce, distribute, or commercialise any SAPEN content without prior written approval.
5. Membership Status and Lifecycle
5.1 A member's status will be tracked through the following lifecycle stages:
- In Progress
- Pending
- Active
- Missing Payment (Phase 2)
- Expired
- Suspended
- Cancelled
- Rejected
5.2 All status transitions are recorded in the system audit trail with full traceability.
6. Events Module (Beta)
- The module is provided for testing and feedback during Phase 1.
- Features may change before full release.
- Payment integration for events will be introduced in Phase 2.
- SAPEN may modify or withdraw this module at any time.
7. Intellectual Property
- The System and all associated assets are owned by SAPEN and/or Ants Creation.
- Members receive a limited, non-transferable licence for usage.
- No ownership rights are granted.
8. Limitation of Liability
- SAPEN is not liable for indirect or consequential losses.
- No guarantee of uninterrupted or error-free operation.
- Liability is limited to membership fees paid in the past 12 months.
9. Suspension and Termination
- Breach of terms
- False information
- Harmful conduct
- Non-payment (Phase 2)
- Other reasonable grounds
10. Communications
- Members will receive transactional communications.
- SMS notifications are optional (Phase 2 settings).
- No marketing without consent.
11. Amendments to These Terms
SAPEN reserves the right to amend these Terms at any time. Continued use indicates acceptance.
12. Governing Law and Jurisdiction
These Terms are governed by applicable laws of SAPEN's jurisdiction and subject to its courts.
